We are the data controller for the personal data described here under the Data Protection Act, 2012 (Act 843). Registration with the Data Protection Commission and any named data-protection contact: to be confirmed. Pending legal review

What we collect

  • Account data: your name, email address, business name and the business profile details you give us (such as business type, size and goals).
  • Financial records you add: transactions you type in or import, receipts, invoices and statements you upload, and reports generated from them.
  • AI conversations: the questions you ask the AI CFO and its replies.
  • Payment information: when you subscribe, payment is handled by Paystack. We receive the payment reference, plan, amount, channel (card or Mobile Money) and status — we never see your full card number or Mobile Money PIN.
  • Technical data: IP address, browser and device information, and security logs.

Why we use it, and our legal basis

  • To provide the service you asked for — your records, reports, AI answers and subscription (performance of a contract).
  • To keep the service secure, prevent fraud and fix problems (legitimate interests).
  • To send service emails such as confirmation, password reset and billing notices.
  • To meet legal obligations, for example tax and accounting rules.

AI processing — please read

When you use the AI CFO or generate an AI report, summaries of your financial data are sent to OpenAI (our AI provider, based outside Ghana) so it can write the response. This includes monthly income and expense totals, top expense categories, your business profile (type, country, goals) and the text of your messages.

When you upload a receipt or invoice for scanning, the document image or text is also sent to OpenAI to read it.

If you do not want your information processed by AI, email hello@yaksaibusinesshub.com and we will switch AI features off for your account. AI output is for general information only (see our Terms). Pending legal review

Who we share data with

  • Supabase — database, sign-in and file storage (hosted in Europe).
  • OpenAI — AI features only, as described above.
  • Paystack — card and Mobile Money payments.
  • Resend — sending service emails.
  • Vercel — hosting the application.

We do not sell your data and do not share it with advertisers. We may disclose data if required by law.

Transfers outside Ghana

Our providers store or process data outside Ghana (for example in the European Union and the United States). We use providers that publish data-protection commitments and we only send what is needed. Legal mechanism for these cross-border transfers and any notification/consent required under Act 843. Pending legal review

Your rights

Under Act 843 you can ask to see the personal data we hold about you, ask us to correct it, ask us to delete it, object to particular processing and withdraw consent. Email hello@yaksaibusinesshub.com; we aim to respond within 30 days. You may also complain to the Data Protection Commission. Pending legal review

Keeping data, and deleting it

  • Account and financial records: kept while your account is active.
  • You can export your transactions as a CSV at any time from the Transactions page, and delete your transactions there.
  • Account deletion on request; backups are overwritten on a rolling basis. Exact retention periods to be confirmed. Pending legal review

Security

  • Data is encrypted in transit; databases and file storage are encrypted at rest by our providers.
  • Each account can only access its own records (row-level security), and uploaded documents are private to your account.
  • Payment webhooks are signature-verified; sensitive actions are logged.

No online service can promise perfect security. If a personal-data breach affects you, we will tell you and the regulator as the law requires. Pending legal review

Cookies and analytics

We use essential cookies to keep you signed in. We do not run advertising cookies. If we add product analytics or error monitoring tools we will update this policy first. Pending legal review

Children

The service is for businesses and is not intended for people under 18.
